Real Estate Transaction Coordinator & Listing Manager
Job Overview
We are seeking a highly organized and detail-oriented **Real Estate Transaction Coordinator & Listing Manager** to join our team. This role is responsible for managing real estate transactions from contract to closing, coordinating listings, and ensuring a smooth experience for clients, agents, and vendors. The ideal candidate will have a strong background in real estate administration, excellent communication skills, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
Transaction Coordination
- Oversee all real estate transactions from executed contract to closing.
- Ensure all required documents are accurate, completed, signed, and submitted on time.
- Coordinate with buyers, sellers, agents, title companies, lenders, and attorneys to ensure a seamless closing process.
- Track deadlines and manage the contract timeline to avoid delays.
- Schedule inspections, appraisals, and other necessary appointments.
- Maintain compliance with brokerage, state, and federal regulations.
- Prepare and distribute transaction updates to all relevant parties.
Listing Management
- Coordinate new listings, ensuring all property details are accurate and complete.
- Input and update listings on MLS and other marketing platforms.
- Order professional photography, videography, and virtual tours.
- Create and schedule marketing materials, including flyers, email campaigns, and social media promotions.
- Manage listing agreements and ensure timely execution.
- Monitor listing performance and provide updates to the listing agent.
Administrative & Client Support
- Serve as the primary point of contact for clients during the transaction process.
- Answer client and agent inquiries in a timely and professional manner.
- Maintain accurate records and transaction files in the CRM or document management system.
- Assist with coordinating open houses and showings when needed.
- Handle post-closing tasks, including requesting reviews and updating databases.
Qualifications & Requirements
- Real estate experience required (transaction coordination, listing management, or related field).
- Knowledge of MLS systems, transaction management software and CRM tools.
- Understanding of real estate contracts, disclosures, and compliance requirements.
- Strong organizational skills with attention to detail and ability to meet deadlines.
- Excellent verbal and written communication skills.
- Ability to multitask and work efficiently in a remote or office setting.
- Proficiency in Microsoft Office, Google Suite, and marketing tools (Canva, Mailchimp, etc.).
- A real estate license (preferred but not required).
